King Alfred School is a progressive, independent school based in Hampstead, London, providing education to boys and girls from the ages of 4 to 18.

King Alfred approached Nustream primarily to support their print environment with the aim of obtaining best value for money, improved services for students and staff, and to reduce their carbon footprint.

Key Print Assessment Findings

The existing fleet consisted of 112 desktop printers and 6 photocopiers that were all non-networked. Nustream undertook a full print assessment analysing their volumes, costs, and a health check of their existing agreement. Findings from the assessment identified multiple issues with their existing printing infrastructure including (but not limited to):

  • A minimum commitment on their copy volumes
  • No visibility of volumes printed from devices and by whom
  • Spending vast quantity on toner cartridges per annum
  • A printer using the wrong meter
  • Unsecure, non-networked printers

Solution

To best meet the needs of the school, Nustream worked in collaboration with a range of stakeholders; including the Bursar, the IT Manager and the Deputy Head Teacher. An optimised state was put together that would rationalise printers down to 20 printers and 14 centralised multi-functional devices (MFDs).

All of the devices were a managed and secure management solution integrated with gate entry cards providing King Alfred with the visibility of volume and cost by user, department, organisation, and at device level.

Working with King Alfred School, a GDPR (General Data Protection Regulations) compliant Print Policy was drawn up to change print behaviour of staff and students. The print management solution included a GDPR module to aid the audit trail for explicit compliance.

Workflows were streamlined using in-built technology available on the SMART MFDs meaning that scanning became integrated and secure with a single sign-in straight to the user’s email address. Students and staff could also print using mobile devices.

Results

As a result of the new solution designed by Nustream, King Alfred School:

  • Achieved a 15% saving based on like-with-like volumes of their incumbent solution
  • Implemented a GDPR compliant printing infrastructure
  • Improved visibility and control of print volumes and costs by user, department and the organisation
  • Improved convenience for students and staff utilising the in-built device technology such as mobile printing and a simplified scan solution
  • Obtained a future-proof Xerox Managed Print Service with additional tools to help optimise, manage, improve and streamline throughout the contract.

Nustream are now working with King Alfred School to support other workflows including:

  • A simplified intelligent data capture software to extract information from their pupil management system – SIMS.
